Birthday Party Planning Key Factors

1) Budget
Decide how much you want to spend on your party or event. This is very important, as the budget will determine what you will or will not include in your party/event. The details can be endless so you must be able to specify your needs and figure out approximately how much you are able to spend on each service.

2) Number of Guests
Make a list of people who will be invited to the party/event. This will affect the space you will need as well as the amount of food, which will be ordered.

3) Place
What kind of party are you considering? Is it formal or casual? Will you be dancing or just mingling?

4) Entertainment
Do you want entertainment during the party/event? If so, you need to consider if there will be children and adults coming to the party. This will determine whether you hire a magician vs. a hypnotist, for example. If it is a larger event, you might want to consider having a live band or a D.J.

5) Food
Once again if the party is formal or casual this will affect the type of food being served. Do you want a sit-down meal or buffet? Perhaps you want to make a meal just put of appetizers/finger foods. The party could also be an informal get-together with coffee and dessert.

Party Planning and Organization

Organization is the key word to party planning. It is very important to be organized, since you will be collecting information about many different merchants and services who will contribute to your overall event. When you make notes after a phone call the papers may start piling up, get mixed up with others around the house, or get thrown together in one file.  Start by getting an accordion style folder at an office supply store. This way you can separate services by category such as caterer, rentals, music, etc. and easily find them when a phone call or question comes up about one of them.

Party Planning Timeline

One month before party day: Reserve location for party (if other than your home), decide on a theme for the party, make guest list, send invitations, plan menu.

Two weeks before party day: Shop for party favors, paper goods, check www.partymerchant.com for resources. Ask a friend or relative to act as your assistant on party day. Order birthday cake.

One week before party day: Shop for menu items. Prepare any food items you can freeze. Call to verify reservations if party is not in your home. Organize games or activities for party.

One day before party day: Prepare any food items you can store in refrigerator. Decorate tables, fill treat bags, set-up game area with supplies, pick-up birthday cake.

Party day! Finish decorating, make punch, set out food approximately 20 minutes before guests arrive. Relax and have a fun party!
